Fulltime, Hybrid, 3 days in the office and 2 remote

 The Opportunity

PUNCH Consulting Engineers, a COWI Company have an exciting new opportunity for a Bid Administrator within the Bid & Administration Department. The Administrator will report directly to the Bid & Administration Manager (located in Dublin), Directors and General Company Senior Management as relevant. The role offers flexibility to work from any of our Irish offices (Dublin, Cork, Limerick or Galway).

We’re looking for an organized and proactive Bid Administrator to coordinate the end-to-end bid submission process. You’ll work closely with the Bid Manager, commercial team, and project managers to ensure all tender submissions are accurate, compliant, and delivered on time. This role is ideal for someone with strong administrative skills, attention to detail, and an interest in the construction/engineering sector.

In addition, the role includes assisting with the following duties: Tender Bid Submissions, Bid documentation and administration, New Staff Orientation, Quality Systems administration and General Office Administration.

The role offers flexibility to work from any of our Irish offices (Dublin, Cork, Limerick). In summary the role includes assisting with the following duties:

Tender Bid Submissions, Bid documentation and administration, Quality Systems administration and General Office Administration.

  • Bid Coordination: Manage the bid timeline, coordinate bid meetings, and track all bid-related activities.
  • Document Management: Compile, format, and quality-check bid documents including technical proposals, commercial pricing, CVs, case studies, and compliance certificates.
  • Tender Portal Management: Submit bids through various e-procurement portals.
  • Compliance Checking: Ensure all submissions meet tender requirements, including mandatory forms, insurance certificates, and legal documentation aligned with Irish procurement regulations.
  • Database Maintenance: Maintain the bid database, track past submissions, update company credentials, and manage supplier pre-qualification questionnaires (PQQs).
  • Stakeholder Coordination: Liaise with internal teams (engineering, finance, legal, HR) to gather required information and secure sign-offs.
  • Record Keeping: Maintain accurate bid records, lessons learned logs, and archive completed bids in line with company policy.
  • Administrative Support: Prepare bid packs, manage printing/binding, coordinate courier deliveries, and support bid interview preparations.

Key Skills & Experience

  • Education – Level 6-8 qualification in Business Administration, Commerce, or related field.
  • Experience – bid administration, proposal coordination, or commercial administration.
  • Technical Skills – Advanced Excel skills, MS Office Suite proficiency, experience with tender portals.
  • Organisational Skills – Exceptional attention to detail, ability to manage multiple bids simultaneously under tight deadlines.
  • Communication Skills – Strong written and verbal communication skills; ability to draft clear, professional documents.
  • Personal Attributes – Excellent team player with the ability to work on own initiative. A flexible, positive and proactive mindset is essential with the ability to engage with numerous stakeholders both internal and external to the organisation.

Desirable

  • Design software experience.
  • Construction/engineering sector preferred but not required.

Working Hours

A typical working week is 35 hours.
